What you need to know after you reserve your Palmetto Sands Vacation Rental on Hilton Head Island, SC.: Your Hilton Head Vacation is almost here! Time to start packing and making sure you have everything you need for your stay on Hilton Head Island. Below are some tip and tricks for making sure your vacation is the best ever!
RIGHT AFTER PLACING YOUR RESERVATION: We strongly encourage you to start making plans for your Hilton Head Island vacation as soon as you book your stay with Palmetto Sands. There is a chance during the busy seasons that our vendors may be fully booked, and you might miss out on some exciting experiences! Here are a few things to look into before your stay:
1. Did You Sign and Submit Your Rental Agreement?
You should receive your reservation paperwork within 1 hour of placing your reservation and speaking with a Vacation Planner in our office. In this email is a link for you to digitally sign your rental agreement online. If we do not receive your completed rental agreement, we will not be able to send you your door codes or car passes (if applicable)

2. Rent Your Bikes (and Beach Gear!)
Hilton Head Island is a bicyclist’s paradise! There are over 108 miles of paved bike paths, and 19 miles is densely packed sandy beaches for you to pedal around on. Biking has to be one of the best forms of transportation on the Island. Our bike paths can take you anywhere you want to go, and you will be doing your bit to help the environment as well. Sightseeing is the best on a bike as it allows you to pause and take in your beautiful surroundings. We work with a couple of different bike and beach gear rental companies on Hilton Head Island. 3. Make a Tentative Plan for Activities
Are there certain activities you and your family do each time you visit Hilton Head? Are there new activities and adventures you want to give a try while on vacation here? If so, we encourage you to make some tentative plans, and even book a few activities as early as possible. Why you ask? Well our summer days can be pretty warm, and being able to grab that early morning time slot can make a difference. You might also find that some of the more popular or unique activities fill up fast. Some vendors will add additional times, but they can only so that when they see a time slot filling up early. 4. Make Dinner Reservations
We know…it’s hard to know when or where you want to eat when on vacation. However, if you will have a dining party over 6 people, or want to dine for a special event, we would recommend you make some reservations. If not, you might find yourself dining a 3 PM or 9 PM. Many of the restaurants on Hilton Head Island have online reservations, which makes this process easy. And you can always cancel or change your reservations as your plans change. ONE WEEK PRIOR TO YOUR DEPARTURE:
1. Did You Receive Your Arrival Packet in the Mail?
Palmetto Sands offers guests Express Check In by mailing out your door access code, car passes (if applicable) and additional arrival information about 3 weeks prior to your arrival date. This is a package you need to bring with you when you leave home. If it is the week prior to your arrival, and you have not received your Arrival Packet, please contact us at 1-877-597-2637, or send an email to [email protected]
2. Do you have enough car passes for everyone who is driving?
Car passes or hang tags are not needed in all of our homes and villas, but they are in a majority. Please check your arrival packet when you receive it, and make sure you have enough for everyone who will have a car on Island. Our properties do have enough parking for at least 2 vehicles, but it you will have more than that, please take a look at the property description online to make sure there will be enough parking spots for everyone. Many of the complexes and communities DO NOT allow cars to park on the street
If you so need additional car passes, please let us know by calling 1-877-597-2637, or sending an email to [email protected] The gated communities of Palmetto Dunes and Sea Pines do charge a fee for car passes, which will be passed along to you.
3. What is included in the home or villa I am renting?
• All of our properties are non-smoking.
• Accommodations are cleaned and inspected prior to your arrival and after departure.
• All properties are provided with bedding, bath towels and beach towels for your use.
• “Starter supply” of toilet paper, bath soap, dishwasher & laundry detergent, paper towels and facial tissue are provided.
This supply should last a day or two.
• Washer and dryer, dishwasher, iron and ironing board are in all properties.
• Fully equipped kitchen including coffee maker, toaster, pots and pans, microwave and blender. Adequate dishes and cooking utensils for the property’s maximum occupancy.
• Wireless internet, cable TV, DVD, stereo, telephone and voice mail are included.
• Hair dryers, and beach chairs, toys, etc. are not provided.
IMPORTANT THINGS TO KNOW WHILE YOU ARE ON HILTON HEAD ISLAND:
Check-In is at 4:00 PM | Check-Out is at 10:00 AM
Palmetto Sands provides guests with an express check-in package that will be mailed to you including keys/codes, car passes and directions. We do not have an actual check-in process---so there is no need to stop by our office. You may enter your home after it is cleaned and inspected.Important Numbers: We hope you do not need them, but if you do here are the phone numbers for the local emergency personnel.

RESORT RESTRICTIONS: If you are staying in Sea Pines, Palmetto Dunes, Shipyard or Forest Beach, the following rules apply:
• Parking on streets is prohibited.
• Do not place towels and clothing anywhere on the exterior of your property (railings, hanging out of windows, etc.).
• Stow beach toys and chairs neatly. Do not store these in the hallway of your complex.
• Boats, jet skis and kayaks cannot be stored at rental homes and villas. Marina space or storage must be arranged prior to your arrival.
• Moped, motorcycles, motorized scooters, U-hauls, commercial or recreation vehicles and campers are not allowed.
Thermostats should be set on “auto” NOT “on”. The HVAC equipment will freeze up if set below 72 degrees or operated while the windows or doors are left open. Give the air a few hours to cool down when arriving since inspectors and cleaners have been in and out of your property all day making sure it is ready for your arrival. Please make sure you keep doors and windows closed while the air conditioning is on. Closing blinds during peak sun hours will help in the cooling process.
TRASH COLLECTION: A Town and State tax totaling 10% is added to all reservations unless the guest stays over 90 consecutive days. This waiver of tax is applicable only to the rental rate, and all taxes associated with fees will still be charged to the guest. Most trash chutes in high rise buildings are located near the elevator. Homes and townhomes have a designated area which is serviced multiple times a week. Trash cans should NOT be taken to the street.
TELEPHONE AND INTERNET:
Nationwide long distance is provided during your stay at no additional charge. All properties will have Wireless Internet access. Instructions are posted in each property and can also be found in your Arrival Packet.
A supply of light bulbs can usually be found in the utility/laundry room. For hard to reach light sockets or specialty bulbs, please call us at 800-597-2637 or E-Mail us at [email protected]
Lock all doors and windows when you leave your accommodations. Do not leave money or valuables unattended in the property. Palmetto Sands will not be held accountable or liable for any thefts. Please thoroughly check all drawers and closets before departing. We cannot be responsible for items left in the property, in your vehicle or any unattended items at the beach.
During the months of May-August on Hilton Head, female Loggerhead Sea Turtles come ashore to lay their eggs. The young hatch at night from July-October and immediately head for the sea. Artificial lights that shine onto the beach can cause them to migrate towards these lights instead of the ocean. If your indoor lights are visible from the beach, turning them off from May-October is an easy way to help this endangered species. It is against the law to disturb the turtle’s nest or endanger the turtle in any way.
*Fines will be charged if there are light or nest disturbances.
It is against the law to feed alligators. They are generally quiet if left alone, but can move very quickly. DO NOT feed them or let your children play near them.
It is illegal to damage or “tamper” with the sand dunes and its plant life as they provide significant erosion control. Please use appropriate paths to gain beach access.
We have a limited number of “pet-friendly” accommodations; however you must have this noted in your reservation, prior to your arrival. If you bring your pet to the property without permission, you will be asked to leave without a refund. Additionally, there is a minimal penalty of $225.

If you bring or rent bikes, please keep them on rear porches or covered utility areas at private homes. For villas, secure them in the bike racks provided and keep them locked. When leaving through the Sea Pines main gate there will be a code, you will need this code to get back in.
Fireworks are not permitted on the beach or anywhere on the island. However, during summer months there are public fireworks displays.
Private pools are cleaned once a week with an additional clean scheduled during the Summer season. In the interim, a skimmer net has been provided. There will be a charge for an extra cleaning. Most pools can be heated, for an additional change, and will be activated 24-48 hours prior to arrival. Hot Tub jets will NOT operate unless payment has been made for heat. Some villa and complex pools are heated seasonally. However, this is at the discretion of the owner’s association and cannot be guaranteed.
